Administrative Assistant

Location:

Vancouver, BC (Hybrid, 2-3 days in office)

Hours:

Full-Time, Monday-Friday, 9am-4pm

Responsibilities:

  • Provide administrative support to ensure efficient operation of the office.
  • Manage incoming calls and emails, directing inquiries to the appropriate person or department.
  • Schedule appointments and meetings, and maintain calendars for team members.
  • Prepare and distribute correspondence, memos, letters, and forms.
  • Tracking and reporting for ongoing grants
  • Handle sensitive information in a confidential manner.
  • Coordinate travel arrangements and accommodations for staff members.
  • Assist with organizing and coordinating company events or meetings.
  • Perform general clerical duties, including photocopying, faxing, and filing.
  • Maintain office supply inventory.
  • Conduct screening interviews for potential candidates.
  • Assist in onboarding new employees, including paperwork, orientation, and benefit processing.
  • When needed, assist in the payroll process, ensuring monthly data is provided on time and is accurate.
  • Track employee vacation time.
  • Collaborate with other team members to support overall office efficiency and productivity.
  • Other duties as required

Requirements:

  • Proven experience as an administrative assistant or in a similar role.
  • Proficient in Google Office or equivalent
  • Excellent verbal and written communication skills.
  • Strong organizational and time management skills.
  • Ability to prioritize tasks and manage multiple deadlines effectively.
  • Attention to detail and accuracy in work.
  • Discretion and confidentiality when handling sensitive information.
  • Ability to work independently with minimal supervision.
  • Professional demeanour and strong interpersonal skills.
  • This position will be in person a minimum of two days per week
  • High school diploma or equivalent; additional qualification as an Administrative Assistant or Secretary will be a plus.

Salary:

The annual base salary for this position ranges from $50,000-$60,000.
